Purpose: The Correspondence Tracking and Maintenance screen is used to search for correspondence sent, or on hold to be sent to a user. The Internal User can use the following criteria to find the particular correspondence desired:
• Document Source
• Document Class
• Correspondence Name
• FEIN
• Employer ID
• Employer Name
• Reference ID
• Date Generate (From)
• Date Generated (To)
• Notice ID
• Agent ID
• Quarter/Year
Results include the search criteria (excluding Quarter/Year) as well as Status and Agent Name. The search results can be sorted by clicking on any header. Correspondence can be Resent, placed on hold, released from hold, canceled, and exported to Excel using the buttons above the search results. An Internal User can only ‘Resend’ and ‘Regenerate’ if there is a status of ‘Success’. You can only place a hold if the status is ‘Pending’. You can only ‘Unhold’ if the status is ‘Hold’.
