Employer Assigns/Maintains Agent

Role:

      Employer.

Objective(s):

To assign an Agent to work on your behalf using the Employer Self-Service Portal.

Before you begin:

      The Employer has an existing UI account.

      The Agent is working on behalf of the Employer.

      The Agent has an existing UI account.

What happens next:

      SUITS generates a message to the Employer’s account: Agent Employer Assignment.

      The Agent can now perform the designated UI transactions on behalf of the Employer.

1. 

Click the Account Maintenance left-navigation menu item from the Home screen.

SUITS displays the Employer Maintenance screen.

 

2. 

Click the Agent Assignment link.

SUITS displays the Assigned Agents Screen Maintenance screen.

This screen will display the Agent’s records to whom you have assigned rights.

Click the Add Agent button.

SUITS displays the Agent Assignment screen.

 

4. 

Click Agent Assignment Guidelines link to read assignment instructions.

SUITS displays an Agent Assignment instructions popup window.

 

 

 

5. 

Enter the Agent Account Number in the Search Agent panel.

 

The User needs to obtain the Agent Account Number directly from the Agent. They will not be able to obtain an Agent Account Number from the UI agency.

Click the Search button.

SUITS expands the Agent Employer Relation Details panel.

The Agent Info section displays the Agent Name and Account Number.

Click the Browse button to locate and attach the required form for POA/Written Authorization.

Your computer displays your document folder.

 

8. 

Select the POA/Written Authorization document.

SUITS uploads your file to the registration application.

      The User will know their file is uploaded when they see their file name under the Select POA button.

      The User can only upload 1 document to the application.

Select the checkbox in the Assign Roles panel for each role you want to assign to the Agent.

Enter the Access Begin Date.

 

The Access Begin Date must be the first date of the quarter for Wage Submissions. All other Roles access can be set for an indiscriminant date.

Click the Save button.

SUITS displays the Agent’s record in the Assigned Agents panel.

      If the Employer ever needs to modify the Agent’s access/roles, they would click the hyperlinked named of the Agent on this screen. It will bring the Employer back to the Agent Employer Relation Details where they can alter access and save the record.

 

      Anytime an Employer wants to alter/modify the access roles the Agent has, they will need to upload the POA documentation showing the granting of said access.

SUITS generates a message to the Employer’s Portal mailbox: “Agent Employer Assignment”.

The Agent will now be able to view the assigned Employer in the Agent Portal; however, the Agent will not be able to perform work on the Employer’s behalf until the Begin Access Date.
