What is the difference between clicking ‘Checkout’ and ‘Launch’ on a workflow item?

The Checkout link option appears when you are pulling work from the work pool. It is effectively saying you are claiming that workflow as yours to work on, even though it was not officially assigned to you. The Launch link option appears on workflows that are assigned to you, and appear in your assigned work filter as opposed to the work pool.

What will a workflow item be considered ‘Outstanding’ and moved to that My Basket Filter setting?

Once the Due Date of a work item has passed, the system will update it so that it appears both in the Assigned Work filter as well as the Outstanding Work filter.

How do you complete a workflow item?

For the majority of workflows, the action that can be taken is Approve or Deny. It is upon clicking that Approve or Deny button that a workflow is completed and closed out. In other scenarios it may be a Submit button or something similar.

 

In the rare scenario you do need to manually complete a workflow, there is a Complete button when you go into the View Details link of a work item

How do you resume a workflow item that has been suspended?

Most of the time when a work item has been suspended, it will resume automatically when triggered by the event you selected when initially suspending it. For example, a needed document is received and scanned and indexed into the system, triggering that workflow to automatically appear back in your assigned work.

 

However, in the scenario that you receive information or a needed amount of time has passed, you can manually resume the workflow by going to your My Basket and selecting the My Basket Filter of “Suspended Work”. Click the View Details of that item and there is a ‘Resume” button available.

A workflow item was initiated in error; what do I do?

In the View Details of the workflow, there is a “Terminate Workflow” button. This button only appears for users with the right security roles, so if it is not showing up, you will need to contact your management department.
