Background Information:
Process Name: |
Setup and Maintain Resources |
Role: |
Internal user |
Objective(s): |
To create a reference value to be linked to a specific form, field/panel/tab/etc., or button |
Before you begin: |
There is or will be a screen or screen element whose security property is not yet defined and for which developers cannot use an existing security property. |
What happens next: |
The resource exists and is connected to at least one role. In the future, it may have other roles assigned to it, or may be assigned to roles. |
How to do it:

User Action |
System Response |
Notes |
1. |
Select the Administrative Services main menu item. |
This brings you to the Administrative Services Maintenance screen. |
|
2. |
Select the Setup and Maintain Resources icon. |
The system displays the Resource Lookup screen. |
|
3. |
Enter search criteria and click the ‘Search’ button. |
The system displays the search results. |
|
4. |
Click the Resource Description hyperlink. |
System displays Message Maintenance screen |
|
5. |
Make necessary updates to the Resource Description and/or Type. |
|
|
6. |
Click the ‘Save’ button. |
The system displays the save message.
|
At this point, the resource may be used as a reference value in development (assigning resource levels to UI elements does not require the resource to be linked to any roles). The read only ID field is the property the development files use to link screens/screen elements. If it was possible to change it, the system would subsequently be unable to find that resource’s linked UI elements. |
7. |
Click the ‘Refresh’ button. |
The system refreshes the servers to reflect the changes. |
|
8. |
Select the desired role from the dropdown in the Security Details tab in the Add Role panel. |
|
You can also add the resource to the role from the role record. See the Create a Role and Assign Resources to it and Assign Resources to an Existing Role processes.
This process includes adding one or more roles because a resource not assigned to a role has no effect, in-system. |
9. |
Click the ‘Add Role’ button. |
The system adds a new row with the selected role. |
|
10. |
Select the desired access level from the Security Level dropdown. |
|
Options are Delete, Execute, Modify, New, None, and Read. |
11. |
Repeat steps 8 through 10 for each desired role to be associated with the resource. |
|
|
12. |
Click the ‘Save’ button. |
The system displays the save message. |
Although this resource has a role or roles assigned to it, and the role(s) may well be associated with one or more users, nothing about those users’ access has changed yet, unless/until the resource is linked to any actual UI element(s). That can only be configured in system development/maintenance. You can open the Control Details tab to see which elements, if any, are linked. |
13. |
Click the ‘Refresh’ button. |
The system refreshes the servers to reflect the changes. |
