Update Employer Liability Information

Role:

Internal SUITS user

Objective(s):

The objective of this process is to change an Employer’s liability information, which may include:

      Liability Date.

      Business Formation/Incorporation Date.

      Business Formation/Incorporation State.

      Business Entity Type.

      Employer Type.

      Number of Employees.

      Indication of: Is the business waiting for or currently holding a 501c(3) exemption letter?

      FEIN.

      Liability Status.

      Liability Status Reason.

      Indication of: Is Employer a PEO or Employer leasing company?

      Indication of: FUTA in another State.

      Indication of: Corporate Officer/Business Owner Election Requested.

Before you begin:

The UI agency has a need to update an Employer’s liability.

What happens next:

      The Employer’s liability status is updated with the UI agency.

      The updated liability status is reflected in SUITS and added as a record on the Employer’s Liability Update History screen.

      SUITS adds an Account History note indicating the User made a change to Liability.

1. 

Click the Employer Service left-navigation menu item from the Internal User Home screen.

SUITS displays the Employer Service Maintenance screen.

 

2. 

Click the Update Liability Information hyperlink.

SUITS displays the Liability Update Maintenance screen.

SUITS displays this message:

You cannot change the liability date to a date later than the end of the first quarter in which wages were filed. For example, if the Employer filed first quarter wages, you cannot change the liability date to April 1st or later. If there were wages filed in error on this account you must first transfer or remove the wage reports”.

3. 

Enter the Employer Account ID of the Employer you need to update.

 

 

 

      ALTERNATE ACTION 1:
If you do not know the Employer Account ID, click the magnifying glass to search for the Employer using search criteria.

      ALTERNATE ACTION 2:
To view the Employer’s liability history, enter the Employer Account ID and click the Liability History button.

      SUITS displays the Liability Update History Maintenance screen.

      Click the Previous button to return to the Liability Update Maintenance screen.

 

4. 

Click the Search button.

SUITS displays the Liability Information panel populated with the Employer’s liability data.

 

5. 

Update the liability information, as needed.

 

      Available fields are:

Liability Date.

Business Formation/Incorporation Date.

Business Formation/Incorporation State.

Business Entity Type.

Employer Type.

Number of Employees.

Indication of: Is the business waiting for or currently holding a 501c(3) exemption letter?

Indication of: Liable for FUTA in another state.

Indication of: Corporate Officer/Business Owner Election Requested.

FEIN.

Liability Status.

Liability Status Reason.

Indication of: Is Employer a PEO or Employer leasing company?

6. 

Enter Notes.

 

This is a required field.

7. 

Click the Save button.

 

 

8. 

Select the Yes or No button for SUITS prompt:
“Are you sure you want to make these changes?”

SUITS displays the Liability Update History screen. The liability information you updated is displayed as a new record in the grid.
